Privacy policy

1. Who is responsible

Callomi is operated by 14097335 Canada Inc., based in New Brunswick. Our person in charge of the protection of personal information can be reached at partenaires@callomi.com. For your customers' information, your business decides what is collected; we process it on your behalf.

2. Information we process

Your account: name, email, password (stored only as a hash) and, if you enable it, two-factor authentication. Your business: hours, services, team, AI knowledge, settings. Your customers: name, phone, email, appointments and the notes you add. Calls: caller number, a transcript and an AI-generated summary. Payments: handled by Stripe — we never see or store card numbers.

3. Use

This information is used only to operate the service: answer calls, book appointments, send confirmations and reminders, show your activity in the portal, bill your subscription and provide support. We do not sell it and we do not use it to train artificial intelligence models.

4. Where your data is

Our servers and databases are in Canada (Montréal and Toronto), as is our email server. Some providers process data outside Canada, mainly in the United States: Telnyx (phone numbers and texts), Inworld (speech recognition, voice and AI for calls) and Stripe (payments). Depending on configuration, the assistant in your portal may use Google or Anthropic. These providers process data only to deliver the service.

5. Retention

Call transcripts are deleted after 30 days and call summaries after 365 days; call records themselves are kept for history. Call audio is not recorded by default. Other data is kept while your account is active; when you close it, you can ask us to export or delete it. Database backups, kept in Canada, are deleted after 30 days.

6. Security

Encrypted connections (HTTPS), secrets encrypted in the database, two-factor authentication available for every account, access restricted to the team members who need it, and an audit log of sensitive actions. In the event of a privacy incident involving a risk of serious injury, we notify the people concerned and the authorities as required by law.

7. Your rights

You may request access to your information, its correction, its deletion or a copy in a structured format by writing to partenaires@callomi.com; we reply within 30 days. You may also file a complaint with the Office of the Privacy Commissioner of Canada or, in Quebec, the Commission d'accès à l'information.

8. AI and automated calls

The receptionist is an artificial intelligence: it says so when asked. It decides nothing about people beyond what your business has configured (hours, services, rules), and your team can always see, correct or cancel what it did.

9. Text messages (SMS)

Callomi sends texts to your customers only in connection with a booking they made or requested: confirmation, reminder, changes. Every message identifies the business and explains how to stop: replying STOP ends all texts to that number (START resumes them). Customers in the United States are asked for their consent to receive texts when they book online; a customer who declines receives no text. Callomi never sends promotional texts on your behalf.

10. Changes

We may update this policy; the date at the top shows the latest version. Significant changes are announced by email.

11. Cookies

callomi.com uses three kinds of cookies and similar storage. Only the first kind works without your consent; the other two load nothing until you accept them in the banner (Quebec Law 25).

  • Essential — sign-in session, language preference, your cookie choice (6 months) and, if you arrived through a partner link, an attribution marker (90 days) so the partner is credited. No consent needed.
  • Analytics — Google Analytics 4: pages viewed, traffic sources, approximate location. Data is not sold and is used only to improve the site.
  • Advertising — Meta (Facebook/Instagram), Google Ads, LinkedIn and Microsoft (Bing) pixels, used to measure our campaigns and show you relevant ads on those platforms. Each platform has its own privacy policy.

You can change your choice at any time: .
