How Does an AI Receptionist Work for a Small Business?
Learn how an AI receptionist answers calls, handles common questions, routes urgent requests, captures leads, and books appointments around the clock.

"An AI that answers the phone" stays abstract until you've seen a full call from start to finish. Here's what actually happens, step by step, without the jargon.
Step 1 — The call arrives
You keep your current number. You set up call forwarding once, by dialling a short code on your phone. Nothing changes for your customers: they call the same number as before — the one on your cards, your sign and your Google listing.
You decide when forwarding kicks in:
- always;
- evenings, weekends and holidays only;
- only when nobody answers after a few rings;
- only when the line is busy.
That single setting decides whether the AI is your safety net or your main front desk.
Step 2 — It understands what's said
The call is transcribed in real time, sentence by sentence. This isn't a press-1 menu: the caller speaks normally, in English or French, and the AI follows.
This is also where perceived quality is won or lost. A good AI receptionist lets callers finish their sentences, doesn't talk over them, and repeats things back when it isn't sure — exactly like a well-trained employee.
Step 3 — It knows things about you
A generic AI would answer in generalities. A useful receptionist answers with your information:
- your services, their durations and your prices;
- your opening hours and holiday closures;
- your address, parking, and cancellation policy;
- the questions your customers ask constantly.
You configure this "memory" at setup. It's what separates a smart voicemail from a real front desk.
Step 4 — It takes action
This is the step most services skip, and it's the one that matters. Answering isn't enough — the request has to be resolved.
A complete AI receptionist can:
- check your calendar and offer genuinely free slots;
- book the appointment, respecting service duration, available staff and minimum notice;
- reschedule or cancel an existing appointment;
- take a structured message with the best time to call back;
- transfer the call to a real person when it's urgent or complex.
One important detail: availability must be checked at the moment of the call, not against a stale copy of the calendar. Otherwise two people book the same slot.
Step 5 — Everything lands with you
When the call ends, your portal shows:
- the conversation summary and transcript;
- the appointment, already in the calendar;
- the message, with a callback number;
- a text or email notification if you asked for one.
The customer gets a confirmation text — then a reminder before the appointment.
What it should never do
An honest AI receptionist has clear limits, and you should insist on them:
- never invent a price, a service or an availability;
- say it's a virtual assistant if asked directly;
- never ask for a credit card number out loud — a secure link by text, yes;
- hand off to a human as soon as something is urgent or sensitive.
When it doesn't know, the right answer is simple: "I don't want to give you wrong information. I'll take your details and have the team call you back."
How long until it's live
Most of the work is configuration: your hours, services, staff, business memory, then call forwarding. Done with someone on the phone, that's a single session — and you should always test it live before switching over for real.
Callomi does all five steps, in English and French, and gets configured with you over the phone. See pricing or try it for 7 days.
